If you’re looking to send cold emails that land in the inbox and scale outreach without needing GSuite or complex setups, Deliveryman.ai has got you covered.
This guide will walk you through the entire process from signing up to launching your first cold email campaign.
Step 1: Sign Up on DeliverymanAI
Head to Deliveryman.ai and create your account. It only takes a few seconds to get started.

Step 2: Connect Your Domain
Once you’ve signed up, the first thing you’ll do is connect a domain.
- Go to the Email Sending Domains tab.
- Click on Add New Domain and proceed.
- Enter your domain name. (Example: domainname.com)
- Click on Proceed to confirm.

After this, you’ll get a list of NS records that you need to add to your DNS provider.
- Copy the NS records.
- Paste them in your domain’s DNS settings and Save/Submit the records.
P.S. It takes 1-10 minutes for the Domain Registrar to update the new records. In very rare cases, it takes 48 hours.

Step 3: Set up Mailboxes
DeliverymanAI creates everything you need to start sending emails instantly, without buying Google Workspace or Microsoft accounts or doing any manual setup.
Automatic Subdomains
When you connect a sending domain, DeliverymanAI generates optimized subdomains to spread sending activity and protect your domain reputation.
Multiple Mailboxes Per Subdomain
Each subdomain gets several fully verified mailboxes with SPF, DKIM, DMARC, and all required DNS records. No extra cost and no technical work needed.
Mailbox Naming Options
Choose how your mailbox names are created:
- Custom names
- Random human-like names
- Gender-based names
Ideal for scaling outreach and localization.

Step 4: Domain Reputation Building & Email Warmup
When you first connect your domain, it goes into the domain reputation-building stage for 14 days to build trust & prepare your domain for real cold email campaigns.
After this, you can start sending out cold emails. But even then, your domain reputation & email warmup doesn’t stop. We keep doing this activity daily for each of your domains.

Step 5: Create Contact List & Mapping
After adding your domain, the next step is to upload your contact list. This is the list of people you want to reach. Once uploaded, DeliverymanAI will automatically verify and clean the contacts.
Upload Your List
Go to Contact List in the sidebar and click Create New Contact List.
Give your list a name and upload your CSV.
We support up to 100k rows and 20 columns.
Common fields include: First Name, Last Name, Email, Company, Website.

Map Your Fields
After uploading, map your columns to the correct fields.
Email Field mapping is mandatory. If it’s missing or not mapped, you cannot proceed.
You can also add custom fields if needed.
Click Create List to finish.

Step 6: Create Your Email Campaign
Now you’re ready to create your outreach campaign.
a) Give Campaign Name & Select Contact List
- Click Create New Campaign.
- Give your campaign a name (e.g., SaaS Outreach)
- Select Contact List
b) Select Domain & Set Sending Limits
Select the domains you want to use for the campaign. You can select multiple domains at a time. The more domains you have, the faster you will reach your leads and complete the campaign in a shorter time.
Manually set a daily email cap (e.g.,20/day). With one domain, a user can send 100 emails per day.
c) Reply Routing
By default, all replies are automatically routed to your registered Deliveryman email.
But if you’d like replies to go to a different email address, you can set that up here, too.
This can be any email address from Gmail, G Suite, Outlook, Yahoo, etc.
d) Campaign Sending Window
You can choose the specific days of the week when DeliverymanAI should send your emails.
This gives you full control over your outreach schedule and helps you match your sending with the best response days.
By default, all days are selected, so the email campaign will run every day till the entire contact list is completed.
You can set a start and end time, with at least a 3-hour gap to ensure healthy sending patterns.
All emails will be delivered only within this range based on the timezone you select, keeping your outreach aligned with your audience’s local hours.

Step 7: Personalization, Variables & Spintax
DeliverymanAI uses Variables and Spintax to make every email feel personal, natural, and unique. Even when you send thousands of emails, no two messages look the same. This improves deliverability, boosts reply rates, and avoids spam patterns.
Variables
Variables auto-insert real data into each email so every contact gets a personalized message without manual editing.
– Your List Tags
Pulled from your contact list. These are fields you mapped while uploading your list.
Examples:{{First Name}}, {{Last Name}}, {{Company Name}}, {{Website}}, {{Job Title}}
– System Tags
Built-in tags that pull real-time data like dates, sender info, or time-based values.
Examples:{{CurrentDate}}, {{CurrentMonth}}, {{SenderFirstName}}, {{CurrentGreeting}}
Variables help every email feel relevant and individually written.
Spintax
Spintax creates multiple versions of the same line using this format:
{option1|option2|option3}
Example:
Hope you have {a great|an amazing|a wonderful} day.
DeliverymanAI randomly rotates these variations so your emails stay fresh, human, and safe from spam filters.

Step 8: Email Sequencing
In the Email Sequence section, you build your entire campaign flow.
Click Add Email Step to write your first message and choose between Plain Text, Rich Text, or HTML.
You can use variables like {{First Name}} and spintax such as {Hi | Hello | Hey} to make every email personalized and unique.
Add as many follow-ups as you want and set the wait time between each step.

Step 9: Preview, Campaign Settings & Test Emails
Before launching your campaign, it’s highly recommended to check the campaign settings, preview your content, and send yourself a test.
Just click Send Test Email, enter the email address you want to receive the test email, press enter, and then click the send button. You will receive an email with [TEST] in the subject.
If your test emails are landing in Promotions/Updates/Social, you should tweak the content so they land within the Primary Inbox.
This helps you review formatting, variables, spintax, and how the email looks in real inboxes before reaching your intended leads/contacts.
Once everything looks fine, you can proceed with your campaign by clicking Start Campaign or the Schedule Campaign Button at the top right.
Step 10: Launch Campaign
This is where you decide how you want to send your campaign.

Choose one of the modes: Balanced Mode, Sequential Mode, & No Follow-up Limit Mode
Click Start Campaign or Schedule Campaign.
